At Loud Voters (“Loud Voters”, “we”, “us”, or “our”), we take your privacy and the security of your civic identity seriously and are committed to maintaining the privacy of personal information that it receives relating to individuals. For purposes of this Privacy Policy, “Personal Information” means any information that relates to you as an individual and could reasonably be used to identify you. This Privacy Policy governs how we collect, use, protect, process and disclose your Personal Information (as defined below) when users and visitors (collectively, “you”) use our website (the “Site”) and services and your rights with respect to your Personal Information. The Site and any services provided by Loud Voters are collectively referred to as the “Services.”

To provide a verified platform for civic engagement, we may collect the following categories of Personal Information about you in connection with your access and/or use of the Services:

1.1 Registration and Profile Information

We may collect Personal Information that you provide when you register to use our Services or update your profile, such as your name, date of birth, email address, phone number, and residential address.
We may collect demographic data, such as your city, state, province, territory, country of residence, postal code, gender, and age.

1.2 Transmittal Information

We may collect Personal Information that you provide when you send letters through our Services (“Transmittals”), such as your recipient’s name and address, and information and content you upload, including photos, files, text, and documents.

1.3 Organization Data

For advocacy groups, we collect EINs, official mailing addresses, and authorized representative contact information.

1.4 Technical and Usage Data

We may automatically receive and record technical information from your computer, web browser and/or mobile device, such as your IP address or other device address or ID, web browser and/or device type, hardware and software settings and configurations, the web pages or sites that you visit just before or just after visiting the Site, the pages you view on the Site, your actions on the Site and the dates and times that you visit, access or use the Site. This includes information about how you use and navigate the Site, such as which links you click on, which pages or content you view and for how long and other similar information and statistics about your interactions with the Site (together, “Usage Data”).

1.5. Transactional and Payment Data

We may collect payment and other information relating to or needed to complete your orders on or through the Services, including order numbers and transaction history.

1.6 Communications and Marketing Data

We may collect communications data based on our exchanges with you, including when you contact us through the Services, communicate with us via chat features, social media, or otherwise.

Your Personal Information may be collected, stored, disclosed and processed by Loud Voters for the following purposes:

To operate, maintain, enhance, and provide all of the features of the Services, such as verifying your name, email address and home address, facilitating delivery of Transmittals, and connecting you with your local, state, and federal representatives;
To provide you with our Services and to allow you to use and access functionality provided by the Services;
To understand and analyze the usage trends and preferences of our users, to analyze and report on the traffic, marketing and usage trends of the Services, to improve Services, and to create new features and functionality;
For ongoing review and improvement of the information, content and Services provided to ensure it is user friendly;
To understand your needs and interests and respond to inquiries and/or other requests or questions;
For in-depth threat analysis, to prevent any potential disruptions such as cyber-attacks, and for statistical monitoring and analysis of current attacks on devices and systems for the on-going adaption of the solutions provided to secure systems and devices against current attacks;
To conduct analysis required to detect malicious data and understand how this may affect your IT system;
To detect, investigate and prevent fraud, bot attacks, astroturfing, and other crimes or malpractice, and to improve fraud detection and information security; and
For all purposes otherwise set out in this Privacy Policy and to which you consent prior to such processing.

3. DATA SHARING AND DISCLOSURE

We do not sell or share your personal data to unaffiliated third parties, such as third-party marketers or data brokers, except when we have your permission, as required by law, and/or under the following circumstances:

In order to provide the Services, we provide your Personal Information and the content of your Transmittals to third-party voter-file vendors to confirm registration status and to trusted third-party mail and print-fulfillment partners.
We work with third-party service providers to provide website development, hosting, data storage, maintenance, and other services for us. To the extent it is necessary for these third-party service providers to complete their contractual obligations to us, these third parties may have access to or process information about you.

We may partner with certain third parties to collect information regarding your use of our Services in order to improve our maintenance and support. These third parties may also engage in analysis, auditing, research, and reporting and may use web logs or web beacons, and they may set and access cookies on your computer or other device. If you prefer to prevent third parties from setting and accessing cookies on your computer, you may set your browser to block cookies. In the event you elect to participate in a campaign created by a voter advocacy organization on our website, we may share with that organization your participation in that campaign, your email address, and your demographic information. We may also share aggregated or de-identified information about campaign respondents to help that organization analyze demographic trends.

4. TRACKING TECHNOLOGIES

Some automatic data collection is facilitated by the following technologies:

Cookies, which are small text files that websites store on user devices and that allow web servers to record users’ web browsing activities and remember their submissions, preferences, and login status as they navigate a site. Cookies used on our sites include both “session cookies” that are deleted when a session ends, “persistent cookies” that remain longer, “first party” cookies that we place and “third party” cookies that our third-party business partners and service providers place.
Local storage technologies, like HTML5, that provide cookie-equivalent functionality but can store larger amounts of data on your device outside of your browser in connection with specific applications.
Web beacons, also known as pixel tags or clear GIFs, which are used to demonstrate that a webpage or email was accessed or opened, or that certain content was viewed or clicked.

6. SECURITY AND DATA RETENTION

6.1 Data Security

We maintain physical, technical and administrative safeguards designed to protect the integrity and security of your information. We cannot, however, ensure or warrant the security of any information you transmit to us through the Services and you do so at your own risk. We also cannot guarantee that such information may not be accessed, disclosed, altered or destroyed by breach of any of our physical, technical or administrative safeguards. Although we may allow you to adjust your privacy settings to limit access to your information, no security measures are perfect or impenetrable. We cannot control the actions of other users or other third parties with whom you may choose to share your information. Therefore, we cannot and do not guarantee that information you provide through the Services will not be viewed by unauthorized persons. We are not responsible for circumvention by any third party of any privacy settings or security measures contained within the Services.

6.2 Data Retention Policy

We only store your Personal Information for as long as may be needed to provide the Services to you, with the exception of Personal Information that we may need to store for a longer period of time to comply with legal or regulatory obligations, resolve disputes, enforce our agreements or for records management purposes. We will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our Site, or we are legally obligated to retain this data for longer periods. Even after removal, copies of information that you have posted may remain viewable in cached and archived pages or if other users have copied or stored such information.

We do not knowingly collect or maintain information directly from persons under 16 years of age (“children”), and no part of the Services is directed to children. 7. INTERNATIONAL DATA TRANSFERS

The Services are controlled and operated by Loud Voters in the United States. If you choose to access the Services from outside the United States, you acknowledge that you will be transferring your information, including Personal Information, outside of those regions to the United States for storage and processing, as necessary to provide to you the Services and you consent to such transfer.

8. THIRD-PARTY LINKS

The Services may provide links to, or features from, other third-party websites. If you link to or use such third-party sites or features, you do so at your own risk. We do not control and are not responsible for the content or practices of any third-party website, application or other product or service.

9. VISITORS FROM OUTSIDE THE UNITED STATES

Loud Voters operates in the United States, and any Personal Information collected pursuant to this Privacy Policy may be accessed from and/or stored by Loud Voters, or those acting on Loud Voters’ behalf, in the United States. We provide the Site for use only by persons located in the United States. If you use Loud Voters’ Services from outside the United States, you do so on your own initiative and acknowledge that your Personal Information may be transferred to or accessed from the United States, and consent to such transfer or access.

10. CHANGES TO THIS POLICY

Loud Voters reserves the right to update this Privacy Policy at any time, including when legislative data requirements change. We will notify you about significant changes in the way we treat your information, such as by placing a prominent notice on the Site or by sending you an email so that you can choose whether to continue using the Services. Please revisit this page periodically to stay aware of any changes to this Privacy Policy. For the avoidance of doubt, disputes arising hereunder will be resolved in accordance with the Privacy Policy in effect at the time the dispute arose.
